Key Responsibilities
- Taxonomy and Classification Structures
- Establish the overall Knowledge Management (KM) structure including define taxonomy objectives, determine scope, decide taxonomy type and establish naming conventions and standard terminology.
- Organise knowledge into logical groupings aligned with business functions by identifying core and support functions, defining top-level categories, breaking down into sub-categories, as well as eliminating duplication and overlaps.
- Define and develop classification structure by defining document types, defining classifications levels, aligning with regulatory frameworks, as well as establishing classification criteria and rules.
- Define metadata and tagging standards to enable efficient search and retrieval.
- Create controlled vocabulary.
- Map existing documents with new taxonomy by conducting document inventory, mapping documents to categories and sub-categories, as well as cleaning up outdated or duplicate documents.
- Develop classification guidelines and business processes.
- Configure KM taxonomy into KM system.
2. Centralised Document Repositories
- Design repository structure by developing folder structure aligned with KM taxonomy.
- Establish document classification and access control.
- Define metadata and document standards by defining mandatory metadata, standardising tagging and keywords, documentation of templates and formats, as well as version control standards.
- Manage document migration and clean-up by conducting document inventory, validating document accuracy and relevance, migrating documents into the new structure, as well as applying classification and metadata tagging.
- Manage KM system setup and configuration.
3.Knowledge Capture
- Identify critical knowledge by identifying business-critical processes and functions, key subject matter experts, as well as prioritising high-risk areas.
- Define knowledge scope and format on how knowledge should be captured.
- Conduct knowledge elicitation by conducting interviews with subject matter experts, workshops, focus group, project debrief, and others.
- Convert captured knowledge into usable formats.
- Classify and tag knowledge and store in central repository.
4. Audit and regulatory documentation
- Ensure documents are audit-ready and retrievable in the central repository.
- Ensure documents accuracy and compliance by conducting periodic review, validating against current regulations and policies, track review cycles and expiry dates.
- Manage document lifecycle by defining retention schedules, archive, and disposal
5. KM system implementation and user adoption
- Conduct document inventory and clean-up, remove duplicates and outdated content.
- Define user roles and access levels by configuring permissions and security controls.
- Conduct user acceptance testing (UAT), test search functionality and navigation.
- Assist in conducting training sessions and hands-on workshops with internal staff.
Key Responsibilities
- Bachelor’s Degree in Information Management, Administration or other related fields.
- Minimum 4 years of experience in managing and review policies, guidelines and standard operating procedures.
- Excellent communication, presentation, and interpersonal skills, with experience engaging with stakeholders at various levels.
