Associate - Payroll Management & Admin

Key Responsibilities:

 

1. Employee Data and Payroll Administration

  • Maintain accurate and up-to-date employee records in the Human Resource Management System (HRMS) and payroll systems.
  • Update employee movements and payroll-related changes, including new hires, transfers, promotions, salary revisions, and separations.
  • Administer monthly payroll and ensure timely and accurate salary payments.
  • Prepare payroll reports, reconcile payroll data, and investigate discrepancies to maintain data accuracy.

 

2. Statutory Compliance and Employee Services

  • Administer statutory contributions and tax requirements, including Employees Provident Fund (EPF), Social Security Organisation (SOCSO) and Income Tax (PCB/IRB).
  • Prepare employment verification letters, payroll-related documentation and administer SOCSO claims while liaising with relevant authorities and agencies.
  • Respond to employee enquiries relating to payroll matters, statutory deductions, and salary-related information.
  • Ensure timely submission of statutory payments, reports, and related documentation in compliance with regulatory requirements.

3. Payroll Governance and Continuous Improvement

  • Ensure payroll activities comply with applicable legislation, company policies, and internal controls.
  • Support payroll audits and maintain accurate payroll records and documentation.
  • Participate in payroll system enhancements, testing activities, and process improvement initiatives.
  • Liaise with internal stakeholders, government agencies, and external service providers to support efficient payroll operations.

 

Key Requirements

  1. Bachelor’s Degree in Human Resource Management, Business Administration or other related fields.
  2. Minimum of four (4) years experience in payroll administration in Malaysia, preferably within a medium to large organisation.
  3. Strong knowledge of Malaysian payroll operations and statutory requirements (EPF, SOCSO and IRB).
  4. Experience in payroll systems administration. Knowledge of SAP SuccessFactors Employee Central Payroll is an added advantage.
  5. Excellent attention to detail, high integrity, maintain confidentiality of sensitive information and data privacy.
  6. Ability to work independently and meet strict deadlines.
